subject:	Board Meeting Minutes 10/22/18

Here are the minutes from our meeting last night:

Voted on proposal to move board meetings from 2nd Monday to the 3rd Monday each month.  5 members voted, 4 were absent.  5 voted yes, none abstained. - Next meeting date is November 19 @ 6:15 pm.

Discussed pool cleaning plan roll out and other possibilities - Kimberly Arnold to help with cleaning checklists and other documentation, investigating possible donation of cleaning services.  We will continue with plan to roll out cleaning plan with family volunteer help, as no other solution is viable yet.

Mark Keillor presented his analysis of team registration stats and focused on several metrics with which to measure enrollment and recruiting efforts.

Matt has plans to start advertising campaigns, at local schools and websites for winter session, in November.

Melinda reviewed coach coverage, issues and planned changes.  New assistant coach position for high school swimmers to assist with Learn-to-swim classes has been researched and offered to 3 or 4 previous/current Otters.  Work permits have been handed out, as appropriate.

Andrea reviewed volunteer deposit collection and will update list of those who have not yet paid. 

Jennifer reviewed the status of USA swimming, and reported that # of swimmers has doubled since last year.  More promotion of USA swim would be good.  An update email to highlight USA swimmers achievements sent to the club may increase interest.

Further discussion was had around pool security and safety.  The pool will be rekeyed for security, doors to the pool from the second floor need to be closed and locked once rekeyed.  Safety of swimmers during meets continues to be a concern based on the emptiness of the building.  Concepts discussed were: having volunteer supervision of the hallway outside the locker rooms, installing a security camera in that hallway, and reinforcing to parents that they are responsible for their kids when they are done swimming at meets.  Snow removal on sidewalks and ice-melt supplies should be planned and purchased before snow fall and freezing temperatures get too much farther along.

Andrea/Jennifer to review email received from interested families who were too late to register for fall, to communicate winter session registration and testing dates once finalized.

Mich to plan and create a document/system to have new families sign up for testing dates/times and enter basic swimmer information (name, age, etc).  This can then be used to generate testing sheets for each session for coaches to record testing information onto.  That can then be entered into the document, which will in turn be used by Melinda for approval of registrations.    Testing sessions will be determined (between December 1 and 14).  Registration for new families will open December 22.

Registration for current families will open December 15.

Parent volunteer, Petula Brown, has been looking into activities for a team event.  Ice skating has been proposed as a fun idea.  She will look into the Ice Cube and Buhr Park as possible locations.  January 4th or 5th have been proposed.
